All board members present, missing the President of the club

Kylan, as VP has taken over the Presidents responsibilities/position

Kylan chaired the meeting.

 

1.) If you have not heard Josh is stepping down as Club president - nothing is written in the Bi-laws to address this type of situation.  You can read the current bi-laws at http://www.magiccityrc.com/MCRC by-laws.htm. 

 

            Proposed additions and changes to the bi-laws:

 

            For those stepping down, something like the following added to Section 5:

"Should an officer step down from the responsibilities of his elected position refer to section '7' subsection 'd' to appoint a replacement."

            7/d states that a majority vote is needed to elect club officers.

?????

Do we want the next officer to take over the position vacated?  What if a board member drops out or is elected to the vacant position, how do we replace the board member, or should the board and directors just appoint someone to the vacant position(s)?  Or do we let it all slide until the next election?  Think on it.

                        3/a/v - President Must be a current ROAR member

                        3/c/iv - Treasurer must be a current ROAR member

Do we want the VP to be a member as well?  This was added because ROAR requires the President and Treasurer to be ROAR members if the club is to be a ROAR club.  Could we add a perk that if they are not currently ROAR members, the club will pickup the membership fees, or simply the club will pay for the directors ROAR membership?

 

Voted on to change the Bi-laws as follows:

1.)     Section 3: reads “Officers & Responsibilities (Must be paid up club members, Club will pay ROAR dues for 2 officers)”

2.)     Added “must be a current ROAR member” to President and Treasurer

3.)     Section 5: Added sub-section “c” “Should an officer step down from the responsibilities of his elected position, the next officer in line will fill the vacated position until the next general election of the club(7d).  Board members that step down from their elected position will require no action”

 

Changes have been made to update the bi-laws.

 

 

2.) Barriers:

            We need to take action ASAP, On-road is 2 months away

            Anyone know a contractor that would be willing to pick up the down spouts at their cost?

Ideas for corners and connecting the barriers together - please BRING your handy work for all to see. 

If you want a sample of the down spouts please contact me and I'll get you a piece.  So we don't duplicate, I'll be bringing a piece with 90's cut out of one side so it bends.

            Does anyone have an on-road car already setup that we can use to test the barrier's. 

We are thinking of taking apiece to the shrine and bouncing a car off of it to make sure it sticks and will work for us

            Date we can plan to do the above test

            Velcro choices

500' of barrier = roughly 175 yards

2 strips of 1/2" on each board = 350 yards = $150 +s/h

1/2" on the two bottom edges does not seem like much but there will be 10' of it

3/4" - price would jump to $252 +s/h

1" sticky with 2 strips per board and it would be $301

 

1.)     2 inch Velcro will be ordered for the barriers – price for 2-inch is $2.33 per yard = $233 for 100 Yards or 300 feet.

2.)     Rick Keiser is pursuing the down spout and will be ordering in one stick to verify it is the product we are looking for

3.)     The 2 samples of corners were passed as the solution for corners

4.)     Track committee: Jason, Justin, Mike, Kylan will start getting the barriers built.

5.)     We will gain access to the shrine and design 1-3 tracks that will be used all on-road season.

6.)     Track committee will be the sole source of track design – designs are welcome from membership, track committee has final say.

7.)     Setup and Tear down will be addressed at first On-Road meeting – stressing everyone help setup and tear down the pre-defined track from the track committee.

8.)     If we do not get the support for setup/tear down:

a.)     The club will start a sign-up sheet

b.)     If the sheet is not filled for the next race day, names will be added to the list by the Board and Directors

c.)     Names will be added Alphabetically, rotating through the alphabet as necessary

d.)     Every effort will be made to distribute the work.

 

3.) Track:

            Off-road: Who can weed-eat b4 the 2-day race?

            Mike sprayed for weeds; all we need to do is keep them down

            We need to get the Off-road track ready for the 2-day.  To do this we need to shutdown the track

X number of days before the race to fix and repair for the event - how many days do we need?

            Who should help with the repair/rebuild of the track? Who can volunteer time or is willing to help?

 

1.)     Rick Keiser will weed-eat before the 2-day

2.)     We are shutting down the Track Sunday Aug 17th to start maintenance for the 2-day

3.)     Rick Gollahon, RC Geiss, Jeremy Jennison, Jason Todd have volunteered to hall water to soak the track starting Monday Aug 18th

4.)     Darren Kobelt has volunteered to supply the club with Mag-Cloride

 

 

4.) Other items:

            End of season prize for Off-road and On-road

Proposed ideas:

A.) Single Plaque, 1 for Off-road, 1 for On-road - Columns and rows for Class/year w/champs name.  The plaque would be kept at the shop for all to see

B.) Single plaque per class for the champion to do with as they please

C.) Plaque with photo per class left at the Shop for the year

1.)     Mike will supply a large plaque to leave on display at the Hobby shop, Plaque will consist of 5-10 years of each Classes champion.  One plaque for off-road, one for on-road

2.)     Soda/Food revenues will fund plaques for each class.  A plaque will be awarded for position 1 thru 3 at a minimum – if funds are available for 4/5th they will also be awarded (may also be donated for 4/5th)

3.)     Pictures will be posted for Class winners above Mike’s large plaque

 

On-road Test and Tune day, yes or no

Have the first scheduled race a test and tune day, $10 to get in the door, we’ll setup the PC to time laps, setup track by 10:30am and run until ?? or maybe even run mock races if there is enough interest.

            On-road classes

4WD Open, 2WD Open, 2WD Stock

Proposed addition of:

Spec class, 19t motors

Sportsman stock which will have restrictions of rubber tires, ROAR stock motors and Stick battery pack, ROAR legal bodies and other rules apply, same as always

Pro-Stock, ROAR rules apply with no restrictions, same as always

1.)     If we do not have a problem with dates at the Shrine, the first race day Oct 19th will be a test and Tune day, with the following weekend being the first race in the series

2.)     Test and tune will be a flat $10 to get in the door

3.)     Sportsman class was approved – rubber tires are the only restriction

4.)     Spec is out

5.)     4wd Open, 2wd Open, 2wd Stock, 4wd Stock or Pro-Stock will be the remaining classes

6.)     We will abide by ROAR rules for all classes

7.)     10 turn limit in 4wd Open

8.)     Brushless systems are not acceptable until approved by ROAR

9.)     On-Road 2-day will be scheduled around the 3rd week in March 2004

 

 

Class Fee increase ($7-10 first class, $5-10 each additional)

If we up the fee, we will up the heats as well however to do this:

We will not wait for racers to make the heat - 60 second delay max

All heats will start with or without all entries

We will be starter Nazis - period - sorry if you did not make it - you have 2 more chances.

1.)     First Class fee increase was voted on and approved to be $10 first class, $5 each additional

a.)     Stressed that the additional funds are to create a buffer for added expense in the future – far ranging future – 3-8 years out.

b.)     Replacing rolls of carpet, Digital transponder system etc. – these are examples

c.)     Teacher always said there had to be 3 bullets or none at all so this is the third bullet J

2.)     There will be 3 rounds of heats, plus mains, we will have breaks between rounds

3.)     Races will start within 60 seconds of scheduled start time.

4.)     Spotting needs to be addressed and enforced – more in next meeting.

 

 

Other Issues not on the agenda:

1.)     Numbered spotter positions at the track on and off-road

2.)     Accessing penalties for missing spotters

3.)     Filling heats, no 2-3 racer heats

4.)     Frequency Clips

5.)     Ordering of heats on and off-road, setting up heats to promote people staying.
